For high-volume feedback: Select tools designed to analyze thousands of open-ended survey responses, reviews, or support tickets. These offer speed and scalability, but usually require researcher oversight to ensure interpretive quality.
Custom toolkits: For teams with data science capabilities, programming libraries offer maximum flexibility. These tools can be fine-tuned to a team's specific data and research questions, although they require more technical expertise.
Ethical and Methodological Safeguards
Using AI reliably means staying mindful of its limitations and risks:
Bias and Representation: AI models can reflect societal biases, which may distort the interpretation of user feedback. Always assess whether themes are equally identified across demographic subgroups, and consider oversampling or re-weighting when needed.
Data Governance: Be cautious about where and how AI models process sensitive qualitative data. Use systems that allow data localization or explicitly state their data retention and training policies.
Consent and Transparency: Update participant consent forms to reflect the use of AI in data analysis. Inform participants if their data might be used to train or improve models, even in anonymized form.
Validity and Auditability: Document your analysis workflow, including prompts used, code definitions, and reviewer notes. This ensures transparency and reproducibility.
